Key Responsibilities

  1. Front Desk Management

    • Greet and welcome visitors with professionalism and warmth.
    • Answer, screen, and direct incoming phone calls.
    • Handle inquiries and provide accurate information about the organization.
  2. Administrative Support

    • Schedule and confirm appointments.
    • Maintain an organized and presentable reception area.
    • Manage incoming and outgoing mail and courier services.
  3. Record-Keeping and Data Entry

    • Update visitor logs and maintain security protocols.
    • Assist in maintaining office directories and staff contact lists.
    • Perform basic data entry and filing tasks.
  4. Coordination

    • Liaise with internal teams to ensure smooth communication.
    • Provide support during meetings, including managing bookings, refreshments, and materials.
  5. Miscellaneous Duties

    • Order and stock office supplies as needed.
    • Assist in other office tasks as required.

Qualifications

  • Proven experience as a receptionist, front office representative, or similar role.
  • Proficiency in MS Office Suite and office management software.
  • Good communication and interpersonal skills.
  • Customer service-oriented mindset.

Preferred Skills

  • Ability to handle sensitive information with confidentiality.
  • Familiarity with office equipment (e.g., printers, scanners, and teleconferencing systems).
