Key Responsibilities
Front Desk Management
- Greet and welcome visitors with professionalism and warmth.
- Answer, screen, and direct incoming phone calls.
- Handle inquiries and provide accurate information about the organization.
Administrative Support
- Schedule and confirm appointments.
- Maintain an organized and presentable reception area.
- Manage incoming and outgoing mail and courier services.
Record-Keeping and Data Entry
- Update visitor logs and maintain security protocols.
- Assist in maintaining office directories and staff contact lists.
- Perform basic data entry and filing tasks.
Coordination
- Liaise with internal teams to ensure smooth communication.
- Provide support during meetings, including managing bookings, refreshments, and materials.
Miscellaneous Duties
- Order and stock office supplies as needed.
- Assist in other office tasks as required.
Qualifications
- Proven experience as a receptionist, front office representative, or similar role.
- Proficiency in MS Office Suite and office management software.
- Good communication and interpersonal skills.
- Customer service-oriented mindset.
Preferred Skills
- Ability to handle sensitive information with confidentiality.
- Familiarity with office equipment (e.g., printers, scanners, and teleconferencing systems).
