Job Summary:

Aventura is a UAE-based travel agency focused on delivering exceptional travel experiences and high-quality services to individual, corporate, and hospitality clients.
We are looking for an Operations & Reservations Executive to join our Egypt-based team.


Your primary role is to assist clients in planning and booking travel arrangements that meet their unique preferences and requirements (leisure or corporate). You will leverage your knowledge of destinations, travel products, and industry trends to provide exceptional service and create memorable travel experiences for our clients.

Responsibilities

Reservations and booking management:
- Handle reservations for hotels, flights, transfers, tours, activities, car rentals, visas, and other travel services.
- Check availability, rates, cancellation policies, payment deadlines, and supplier terms.
- Prepare and present suitable travel options based on the client’s budget, dates, preferences, and requirements.
- Issue booking confirmations, vouchers, itineraries, invoices, and travel documentation.
- Monitor unpaid, pending, waitlisted, and unconfirmed reservations.

B2B client support:
- Act as a main point of contact for travel agencies, corporate clients, tour operators, and other business partners.
- Provide accurate information about availability, pricing, inclusions, restrictions, amendments, and cancellation terms.
- Manage urgent requests and last-minute changes professionally.
- Maintain strong working relationships with agency clients and repeat business partners.

Supplier and destination coordination:
- Communicate with hotels, airlines, DMCs, transport companies, tour operators, and other suppliers.
- Coordinate special requests such as early check-in, late check-out, airport assistance, dietary requirements, accessibility needs, room preferences, and celebrations.
- Check that supplier confirmations match the original booking request.
- Negotiate or request solutions for availability problems, overbookings, cancellations, service failures, and last-minute changes.

Documentation and administration:
- Maintain complete and accurate booking records in the reservation, CRM, or operations system.
- Upload and organize confirmations, vouchers, invoices, correspondence, and payment records.
- Record all changes and communications clearly so another team member can take over the case if necessary.

Financial and commercial responsibilities:
- Apply the correct rates, markups, commissions, taxes, fees, and supplements.
- Check that quotations and invoices match the agreed price and booking conditions.
- Monitor payment deadlines and alert the relevant team about overdue balances.
- Support the finance team with supplier invoice verification and refund follow-up.
- Minimize losses caused by missed deadlines, incorrect bookings, no-shows, or unauthorized changes.

Requirements and skills
  • Work experience in a similar role for at least 2 year
  • Proficiency in Amadeus GDS
  • Exemplary selling skills and willing to work in a fast paced environment
  • Ability to Develop itineraries for Corporate and Leisure clients
  • Degree in Hospitality, Travel, Tourism or relevant field would be an advantage
  • Ability to present, persuade and communicate effectively (Verbal and Written)
  • Proficient in issuance, re-issuance, cancellation and refund of Airfare Ticket through Amadeus
  • Willing to work on shifting schedule
  • Utilize booking systems and platforms to secure travel arrangements, negotiate rates, and manage reservations for flights, hotels, car rentals, tours, and more.
  • Ability to multitask and can work under pressure
  • Good attention to details and problem-solving abilities
  • Be a ‘team player’ with good interpersonal skills
